How to Set Up & Use Job Templates

This guide will walk you through how to create, edit, and apply Job Templates in your workflow.

Overview

Job Templates streamline job creation by allowing you to predefine job details, ensuring consistency and efficiency.

Setting Up Job Templates

1. Accessing the Job Templates List

To explore the feature, go to the Job Templates List, available under Company Settings.

Here you can create, edit, archive, or manage job templates.

Note: You must have the correct rights enabled to access the Job Templates List. By default, the Admin and Manager role types have this right enabled.

2. Creating a New Job Template

  1. Click "[+] Create Template".

  2. Enter a Template Title (required) and an optional Description.

  3. Configure Job Details:

    • Select a Job Type

    • Set a Scheduling Priority

    • Add a Job Description

    • Define an Estimated Duration

  4. Customize Additional Job Fields:

    • Include only the necessary custom fields relevant to the job type.

  5. (Optional) Add a Predefined Task Group to the template.

  6. Click Save to finalize your template.


Using Job Templates to Create Jobs

You can apply job templates when creating jobs from multiple locations within the platform.

1. Applying a Job Template in New Job Creation

  1. Navigate to New Job Creation View.

  2. Click "Apply Job Template."

  3. A modal will appear – select the desired template and click OK.

  4. The job creation page will reload, pre-filling the job fields based on the selected template.

2. Creating a Job from a Template via the Customer, Contact, or Location Record

  1. Go to the Customers, Contacts, or Locations List.

  2. Select a specific Customer, Contact, or Location record.

  3. Click "New Job from Template."

  4. A modal will appear – select your desired template.

  5. Follow the prompts in the modal to complete job creation

3. Dispatching an Asset Job from a Template

If your job is related to specific assets, you can create a job directly from the Assets List:

  1. Navigate to the Assets List.

  2. Select one or more assets by checking the checkbox.

  3. Click "Dispatch Jobs from Template."

  4. A modal will appear – select your desired template.

  5. Follow the steps in the modal to complete the job creation

4. Create & Schedule a Templated Job via the Scheduler

For rapid job creation using a job template when looking at the Scheduler

  1. Navigate to the Scheduler View

  2. Either

    1. Right-click on any technician row

      1. Then select `Schedule Job from Template @ ..."

    2. Click on the [+] New Drop down button

      1. Then select "Job from Template"

  3. A modal will appear – select your desired template.

  4. Follow the steps in the modal to complete the job creation & schedule the job
