When planning to integrate FieldAware with Quickbooks there are a few important requirements in FieldAware to ensure a successful integration:
FieldAware Customers
Billing Address
Every customer must have a ‘Billing Address’ marked for one location. Otherwise, any invoices synced for any customers without a billing address with fail because Quickbooks will reject them.
FieldAware Locations
If the business does not accept taxes, disregard this note
If the business accepts taxes:
Tax Rates and Tax Groups need to be manually created in FieldAware in: Company Settings> Company Profile> Tax Settings
The names should match QB exactly
Record Character Limitations
FieldAware doesn’t limit characters, but when integrating with Quickbooks, FieldAware records need to fit the limitations set by Intuit.
Character limits come in to play for any fields that could be used on an invoice. Most impacted record types are typically FieldAware Tasks and Items so pay special attention to these and ensure the names are not too long.
Important to Note
The connector uses the record name as the key between FieldAware and Quickbooks so, best practice is for names to match.
When names do not match, data mapping can be used – this can be done directly in the QBE connector (SyncAware), if data mapping is needed for QBO – submit a ticket to request this to be done. This will take some time to complete so prepare accordingly.
