The new Scheduler includes map-based tools that help you make faster, more informed scheduling decisions when working with unassigned jobs. By combining the schedule, map, and unassigned job list in a single workspace, you can quickly see which technicians are nearby and assign work more efficiently.
This guide explains where to find these tools and how to use them to connect jobs, technicians, and locations while scheduling.
Overview
The map-based scheduling tools allow you to:
View unassigned jobs and technicians on the map at the same time
Identify technicians already working or travelling near a job
Find additional unassigned jobs near a technician’s route
Assign jobs directly from the Unassigned Jobs list to a technician’s schedule
These tools are available in the new Scheduler (Scheduler Beta).
Scheduler Layout
The new Scheduler organizes key information into three connected views:
Gantt schedule – Displays technicians and their assigned jobs
Interactive map – Shows job locations and technician routes
Unassigned Jobs list – Contains jobs that still need to be scheduled
Because these panels are connected, actions in one area update the others. For example, clicking a job pin on the map will highlight that job in the Unassigned Jobs list.
How Does this Work?
Nearby technicians are identified using several factors:
The current map view (the area you are zoomed into)
Technicians who already have jobs assigned within that area
The routes those technicians are expected to travel
Zooming the map out increases the area being considered and may show more technicians. Zooming in narrows the search to a smaller region.
Skill Matching and Technician Eligibility
When you begin assigning a job, the scheduler highlights technicians who meet the required skills or assignment rules.
In situations where speed is critical, technicians who do not fully match the skill requirements may still appear. This allows you to make a scheduling decision based on the urgency of the job.
The final assignment decision always remains with the scheduler.
Finding a Nearby Technician for an Unassigned Job
Use this workflow when you want to quickly identify a technician who is already working near a job location.
Open the new Scheduler and navigate to the day you want to schedule.
Locate the job in the Unassigned Jobs list using the search box if needed.
Click the map pin icon next to the job to display its location on the map.
Right-click the job and select Show Nearby Routes.
Review the technician routes displayed on the map.
Identify technicians whose route passes near the job location.
Drag the job from the Unassigned Jobs list onto the technician’s row in the schedule to assign it.
This approach helps you select a technician who is already close to the job, reducing travel time and improving response speed.
Finding Additional Jobs Near a Technician’s Route
If a technician is travelling to a specific area, you can check for other unassigned jobs nearby and bundle work into the same trip.
Open the new Scheduler and focus on the day the technician is travelling.
Enable the option to show unassigned jobs on the map.
Zoom the map to the area where the technician is travelling.
Review the unassigned job pins visible near that location.
Click a job pin to highlight the job in the Unassigned Jobs list.
Review the job details to determine whether it is a good fit.
Drag the job onto the technician’s schedule to assign it.
Bundling nearby jobs into a single trip helps reduce unnecessary travel and improves overall scheduling efficiency.
Best Practices
Following these practices helps ensure the map-based tools provide accurate and useful results.
Use Day View for Scheduling: Technician routes are most accurate when scheduling within a single day.
Keep Location Data Accurate: Ensure that the Customer addresses are correct and Technician start and end locations are configured properly. Incorrect location data can affect route accuracy and proximity calculations.
Adjust the Map to Refine Results: Zooming and panning the map changes the area used to identify nearby technicians and jobs.
Combine Proximity with Scheduling Judgment: These tools help identify nearby work opportunities, but the scheduler remains responsible for deciding which technician is the best fit.
Important Considerations
Before using these tools, keep the following in mind:
Available in the new Scheduler only: These features are not available in the legacy Scheduler.
Assignments are manual: The system identifies nearby technicians and jobs but does not automatically assign work. Jobs must be dragged onto a technician’s schedule.
Technicians must already have scheduled work: Nearby routes appear only for technicians who already have jobs scheduled in the area.
Route optimization is not applied: These tools support decision-making but do not automatically optimize technician routes or schedules.
