Using the Scheduler Timeline View

About this guide: This guide covers the Crew & Project Timeline View, released in Q2 2026 for the New Scheduler. The Timeline gives Scheduler users a continuous, date-based view of multi-day jobs alongside the standard Gantt board — making it easier to track crew coverage, spot gaps, and assign technicians across the full duration of a job.

Overview

The Timeline View is a panel that opens at the bottom of the Scheduler. It lets you pin one or more jobs and see their full date range at a glance — from start to end — regardless of what date range is currently shown in the Gantt board.

With the Timeline, you can:

  • Add specific jobs to the Timeline from the Job Card, right-click menu, or directly from the Job Page

  • See a job's complete lifecycle — including assigned and unassigned time slots — in one continuous view

  • Zoom in or out across the job's date range using a slider control

  • Click a Timeline block to highlight the corresponding Gantt rows, or navigate the Gantt to that date

  • Assign or remove technicians directly from the Timeline without leaving the Scheduler

  • Remove individual jobs or clear the entire Timeline with a single click

  • Group Timeline rows by Job ID, Customer, Location, or Asset

  • Multi-select up to 5 jobs from the Gantt and add them all to the Timeline at once

🗒️ Note: The Timeline View is available in the New Scheduler only. It is not available in the legacy Scheduler.


Where to Find It

The Timeline panel lives at the bottom of the New Scheduler. It is hidden by default and opens automatically when you add the first job to it (see "Adding a Job to the Timeline" below). Once open, it remains visible until you clear or close it.


Adding a Job to the Timeline

There are several ways to add a job to the Timeline.

Option 1 — From the Job Card

  1. Click on a job block in the Gantt board to open the Job Card flyout.

  2. Locate the Show in Timeline toggle near the top of the card.

  3. Click the toggle to turn it on. The Timeline panel opens at the bottom of the screen, and the job appears as a row.

Option 2 — From the Right-Click Context Menu

  1. Right-click on a job block in the Gantt board.

  2. Select Show in Timeline from the context menu (positioned after "Open Work Plan").

  3. The Timeline panel opens, and the job is added as a new row.

Option 3 — Multi-Select from the Gantt

  1. Drag a selection fence across multiple job blocks in the Gantt board to select them.

  2. Right-click on the selection.

  3. Select Show all in Timeline from the context menu.

  4. All selected jobs are added to the Timeline at once.

🗒️ Note: Multi-select is limited to 5 jobs at a time. If more than 5 jobs are selected, the "Show all in Timeline" option will be greyed out.

💡 Tip: If the Timeline is already open, adding a new job simply appends it as another row — the panel does not reset or close. There is no limit to the total number of jobs you can add to the Timeline.

The Show in Timeline toggle on a Job Card reflects the current state: if the job is already in the Timeline, the toggle will be in the on position when you next open the card.


Viewing the Job Lifecycle in the Timeline

When a job is added to the Timeline, it renders as a full row spanning its start date to end date. The Job ID is shown as the block label on the left.

Time Slot Blocks

Within the row, each block represents a scheduled time slot:

The technician's avatar(s) displayed inside the block

Unassigned slot

An "Unassigned" label on the block

Overflow (many technicians)

An overflow indicator (e.g., "+2") — click it to see the full list of assignees

Multiple Jobs

When several jobs are pinned, each appears as its own row. The left-hand side shows the primary label for each row (Job ID, Customer, Location, or Asset — depending on your settings), so you can identify jobs at a glance.

Adjusting the Zoom Level

The Timeline includes a Zoom slider to control how much of the job's timespan is visible:

  1. Locate the Zoom slider in the Timeline panel header.

  2. Drag left () to zoom out and see a wider date range.

  3. Drag right (+) to zoom in and focus on a shorter period.

The Timeline initialises at a zoom level that fits the job's full lifecycle on screen when first opened.


Click and Hover on Timeline Blocks

Timeline blocks support several mouse interactions to help you work with jobs without leaving the Timeline.

Action

What it does

Single click

Highlights the corresponding Gantt rows for that job and date slot, so you can quickly locate it in the main view. Click anywhere else or select a different block to remove the highlight.

Right-click → Jump to Date

If the block's date falls outside the current Gantt date range, right-clicking lets you select "Jump to Date". The Gantt navigates to that date, keeping the same date range width (e.g. if you were viewing 5 days, you'll still see 5 days after the jump).

Double-click

Opens the Job Card flyout for that job, showing Job ID, status, customer details, job description, and scheduling information.

Hover

Displays a tooltip summarising the job — consistent with the tooltip shown on Gantt job blocks. The tooltip includes up to the first four fields from your Scheduler Settings > Job Block configuration, plus technician pills.


Assigning Technicians from the Timeline

You can assign or remove technicians directly from Timeline blocks without opening the full Job Card.

Assign or Change a Technician on a Block

  1. Right-click on any Timeline block (assigned or unassigned).

  2. Select Edit Assignees from the context menu.

  3. A modal will appear displaying Assigned Technicians

  4. Click within the Assigned Technicians box

  5. Choose a technician from the dropdown.

    1. The dropdown uses the same Policy Match logic as the Job Page, so technicians are ranked by suitability for the job type and location.

  6. Click Save

  7. Once saved, the Timeline block updates immediately to show the technician's avatar. The corresponding Gantt row also reflects the change.

Remove a Technician from a Block

  1. Right-click on a block that has an assigned technician.

  2. Select Edit Assignees

  3. A modal will appear displaying Assigned Technicians

  4. Identify the technician to remove.

  5. Click the × (remove) control associated to that Technicians to remove them

  6. Click Save

  7. The job block associated to that Technician's row reverts to the "Unassigned" state, and the Gantt updates immediately.

🗒️ Note: Assignments made in the Timeline are the same as assignments made anywhere else in the Scheduler — they are immediately reflected in the Job and Gantt view.


Removing Jobs from the Timeline

Removing a job from the Timeline clears it from the panel only — the job itself and all its Gantt blocks are completely unaffected.

Remove an Individual Job

  1. Locate the job row you want to remove in the Timeline.

  2. Click the × (remove) control at the far right of that row.

  3. The job disappears from the Timeline. Its "Show in Timeline" toggle will be off the next time you open the Job Card.

Clear All Jobs at Once

  1. Click the Clear control in the Timeline panel header.

  2. All job rows are removed, and the Timeline resets to an empty state.

Important: Clearing the Timeline does not affect any job data, assignments, or schedules. It only removes the jobs from your current Timeline view.


Opening the Timeline from the Job Page

You can also launch the Timeline directly from a Job — useful when you're reviewing or editing a job and want to see where it sits in the broader schedule.

  1. Open any Job in the Job Page.

  2. In the secondary actions area (near the Time Slot table), click Show in Timeline. A tooltip reads "Click to view in Scheduler Timeline".

  3. The Scheduler opens in a new browser tab, displaying the first day of the job.

  4. The Timeline panel opens automatically, showing the full lifecycle of that job.

🗒️ Note: The job will appear in the Timeline regardless of your current Saved View or filter settings. The Timeline always shows the job you asked for, even if it is hidden in the Gantt.


Grouping Timeline Rows

By default, each Timeline row is labelled with the Job ID. However, you can change how rows are labelled and grouped to better suit your workflow.

Timeline Block Labels

The label shown on each Timeline block matches the primary Job Block label configured in your Scheduler Settings. If you change the primary label in Scheduler Settings, the Timeline label updates to match.

Changing the Primary Row Attribute

  1. Open the Timeline Settings modal (accessible from the Timeline panel header).

  2. Set the primary attribute to one of the following options:

    • Job ID — each job gets its own row (default)

    • Customer — jobs for the same customer are grouped into one row

    • Location — jobs at the same location (name + address) are grouped

    • Asset — jobs for the same primary asset are grouped

How Grouping Works

When you group by Customer, Location, or Asset, all jobs that share the same value are displayed in a single row. The row automatically increases in height to fit multiple jobs stacked within it. This makes it easy to see all the work planned for a particular customer or asset across time.

💡 Tip: Grouping by Customer is especially useful for businesses that schedule separate but related jobs for the same customer — you can see how all the work connects at a glance.
