Archiving Tasks

With the ability to archive Tasks, you can deprecate tasks and activities that no longer part of your process.

With Task Archiving, you can deprecate Tasks and activities that are no longer part of your process — keeping your Task lists clean while preserving historical data for reporting and invoicing.

What This Does

Archiving a Task makes it inactive so it no longer clutters your day-to-day workflows, while keeping it available on historical Jobs. This helps reduce data-entry errors and billing issues that can happen when outdated Tasks get added to Jobs by mistake.

With this feature, you can:

  • Archive individual Tasks

  • Bulk-archive Tasks via CSV Import

  • Continue to view archived Tasks on historical Jobs for invoicing and reporting


How to Archive a Task

  1. Navigate to any Task record.

  2. Click the Archive button.

Once archived, the Task is no longer available to add to a Job or Quote, on both the web app and the FieldAware mobile app. Archived Tasks also can't be added to Task Groups.

Tasks already on existing or historical Jobs will remain visible, marked with an Archived label.


How to Bulk-Archive Tasks

Tasks can be archived and unarchived in bulk using the Import/Export Tool:

  1. Open the Task import file.

  2. Set the value of the Archived column to yes or no to archive or unarchive a Task.

  3. Import the file as usual.


Importing/Exporting Archived Tasks

By default, archived Tasks are not included in the CSV export. To include them:

  1. Go to the Export tool.

  2. Select the Include Archived Tasks checkbox.

  3. Export as usual.


How to View and Unarchive Tasks

Archived Tasks are hidden from the Tasks list by default. To view them:

  1. Go to the Tasks list.

  2. Select the Show archived checkbox at the bottom of the list.

Archived Tasks display an Archived label. From this view, you can unarchive a Task at any time.

Archived Tasks on Historical Jobs and Records

Archived Tasks continue to appear on historical Jobs and remain fully included in cost and price calculations, invoicing, and reporting — on both web and mobile.

Task Groups and Archived Tasks

Archived Tasks previously included in Task Groups will be hidden and won't be added to Jobs or Quotes going forward. Use the Show archived checkbox on Task Groups to view them for reference.

Archiving Permissions

A dedicated Archiving permission is available under Tasks in the Roles and Rights table, giving you control over who can archive and unarchive Tasks.


Archiving Tasks via the API

Tasks can be archived through the FieldAware API:

  • Set the archived attribute to true in the POST payload to archive a Task

  • Filter Task lists by archived = true or false

  • The archived attribute is tracked in API change logs to help maintain data integrity


Archiving and NetSuite Service Items

Marking a Service Item (mapped to a Task) as inactive in NetSuite does not currently archive the corresponding Task in FieldAware automatically.
